This position is full-time, non-exempt, 40 hours per week, 52 weeks per year. General core work hours are Monday – Friday, 8:00 am – 4:30 pm, and working until 6:00 pm at least one evening a week and possibly Saturday mornings if needed.
 
Madison College offers a generous benefit program including health and dental benefits. The employee selected will serve a twelve (12) month introductory period. This position does not offer a relocation package.
 
SUMMARY:
Position performs complex and varied process coordination and administrative support for staff, faculty, and students. The position requires good judgment, initiative, decision making skills, effective public relations, and organizational skills. Works independently to provide administrative support to staff, faculty, and students. Assists with training and collaboration among peers.
 
The position reports to the Manager, Campus Operations-Reedsburg.
 
DUTIES/RESPONSIBILITIES:

  • Lead operations for the Reedsburg Front Office in support of assisting students and prospective students by providing Level 1 advising regarding Madison College policy and processes including but not limited to, admissions, instructional programs, financial aid, course requirements, etc.
  • Oversee and provide student services. Assist with both enrollment and bursar services to students and assist prospective students with account creation and Level 1 Advising; serve as main point of contact for information and referrals.
  • Work with members of local and regional agencies, advisory groups, and other individuals within the community to identify and schedule relevant Continuing Education classes.
  • Provide support to faculty, both credit and non-credit, with clerical and office management support.
  • Primary contact and supports testing services on campus (GED/HSED, Accuplacer, Proctored Exams, etc.). Be knowledgeable about testing requirements, testing processes, documentation, and fees.
  • Provide support and insight to the office staff by identifying needs and process improvement for the administrative office and the campus.
  • Monitor and facilitate communication with the Bookstore. Oversee and support students with the rental program, purchasing of textbooks, college themed clothing, promotional materials and supplies using Bookstore POS cash register or Third-Party Payment via PeopleSoft.
  • Collaborate and troubleshoot with Technology Services: Serves as the on-site primary contact for all technology-related issues because there is no Technology Services support personnel assigned to the North Region. 
  • Coordinates Traffic Safety courses offered (Group Dynamics and Traffic Safety-Point Reduction,) provides registration services, and communicates with the Wisconsin Department of Transportation, area assessment agencies, area city and county court systems and clients/students in recording registration, completion, and non-compliance.
  • Maintains a commitment to the college mission, vision, and values. Comply with college policies, directives, and work rules.

KNOWLEDGE, SKILLS & ABILITIES:
  • Skill in communicating effectively, both orally and in writing.
  • Demonstrated skill in communications and human relations with populations of diverse socioeconomic and cultural backgrounds and persons with disabilities.
  • Ability to initiate work, work independently or with limited supervision, and make decisions with a minimum of direction
  • Ability to collaborate with co-workers and interact positively with people at all levels of the College. Skill in dealing tactfully and courteously with staff and the public while establishing and maintaining effective work relationships
  • Knowledge of Microsoft Office software and intermediate-level ability in the following software packages: MS Word, MS Excel, MS PowerPoint, MS Access, MS Publisher, PeopleSoft, ON Base, Active Data, troubleshoot issues with the WebEx Rooms
  • Ability to summarize information, reason logically, draw valid conclusions, make appropriate procedural recommendations, and initiate action accordingly
  • Demonstrates skill in communications and human relations with populations having diverse socio-economic and racial backgrounds
 
QUALIFICATIONS:
1. Associate degree from an accredited college or university in administrative assistant or related field or equivalent combination of work experience and education.
    **Experience used as the equivalent of an educational requirement is in addition to any other experience required by the position**
2. Two (2) years (4,000) hours of responsible office administrative clerical work experience directly related to the skills required for successfully performing this position.
